Terms & Conditions
By enrolling in any course offered by RoboCode Academy (hereinafter referred to as "RoboCode"), students and/or their parents or guardians acknowledge and agree to our Terms and Conditions as specified below:
Enrolment
- Due to limited places, early registration is recommended. Unless otherwise specified, courses are offered on a first-come, first-served basis, with enrolment confirmed upon full payment.
- RoboCode may conduct pre-course assessments to determine the suitability of an applicant for a particular course. RoboCode reserves the right to accept or reject an application based on course requirements and/or the overall impact brought to the classes/academy.
- RoboCode reserves the right to terminate a student’s enrolment at any time due to poor attendance, non-payment or underpayment of tuition, or any disruptive behaviour that is opposing negative impacts to the academy’s operations or other students’ learning.
- RoboCode reserves the right to alter the course instructor, class size (with a maximum of 4 students) for any courses or lessons as deemed appropriate or necessary. And it is not required to provide prior notice for such arrangements.
- RoboCode reserves the right to adjust the tuition fees or amend the discount terms in response to the market.
Tuition
- Students must settle all tuition fees at least 14 days before the course begins. Failure to do so may result in the student’s place being allocated to another applicant without prior notice, and the student will not be allowed to attend classes.
- Tuition fees are calculated on a course/term basis: different courses have varying content, levels, class durations, and numbers of classes to suit different students. RoboCode will recommend the suitable course(s) for every child. Therefore, no pro rata payment will be accepted.
- Tuitions are non-refundable and non-transferrable once student’s placement has been confirmed.
Trial Class/Assessment
- Students may schedule a trial class or assessment before officially enrolling in a course to confirm their learning interest or level. After the trial/assessment, our staff will recommend suitable courses for the student.
- The trial/assessment fee must be paid within two days after successfully scheduling the session.
- If students enroll in a course within ten days after the trial/assessment, the trial/assessment fee will be deducted from the first enrolment of the tuition.
- Some special courses do not offer trial class. Please check with RoboCode's staff for details.
Leave and Make-up Class Arrangements
To maintain a consistent learning pace and environment, parents are encouraged to ensure students attend classes on time. If a student cannot attend a scheduled class, parents must notify RoboCode's student affairs staff as soon as possible to allow other students waiting for a make-up session to take the available spot. RoboCode will do its best to arrange a make-up class. Please note the following points regarding leave and make-up classes arrangements.
- For personal leave, parents must notify RoboCode at least 3 days before the class, and a make-up class will be arranged.
- For sick leave, parents must notify RoboCode at least 2 hours before the class and provide a medical certificate within three days. A make-up class will be arranged. If no medical certificate is provided within the time limit, the leave will be treated as personal leave.
- An administrative fee of HKD 150 is required for each make-up class (the fee is waived for sick leave and the first two personal leave classes within the same term).
- All make-up classes must be completed within the same term or course and cannot be carried forward to the next term or course. Otherwise, the make-up class will be forfeited, and no refund will be issued.
- If a student does not arrive 15 minutes after the class starts without prior leave notification, the class will be considered a no-show, and a make-up class will be arranged.
- A no-show make-up class requires an administrative fee of HKD 150 (no waiver).
- There will be no refunds or transfers for missed classes.
- For special circumstances, please notify RoboCode in advance when enrolling.
- RoboCode reserves the right to make the final decision on all matters.
Buddies Offer
Students who meet one of the following criteria are eligible for a tuition discount:
Condition 1: Two or more students enrol at the same time for the same course and class; or Condition 2: Siblings from the same family enrol in different courses due to age differences.
Discounts:
- For courses of 18 hours or above, each student will receive a tuition discount of HKD 300; for courses of 9 hours or above, the discount will be HKD 150. The discount will be automatically applied to each term’s tuition until the criteria are no longer met.
- For holiday courses, the amount of discount will vary depending on the promotional campaign. Please check with RoboCode’s staff for details.
- Discounts are not redeemable for cash, cannot be used for purposes other than those specified, and are non-transferable.
- This offer cannot be used in conjunction with the Referral Offer.
All plans and related discounts are subject to RoboCode's interpretation. RoboCode reserves the right to make the final decision and interpretation on all matters.
Referral Offer
Students who are currently enrolled in RoboCode's course (current students) and successfully refer a new student to enrol in RoboCode's regular courses are eligible for a one-time tuition discount.
- The new student must provide the current student’s name before enrolling to confirm the referral.
- If the new student enrols in a course of 18 hours or above, the tuition discount will be HKD 300; for courses of 9 hours or above, the discount will be HKD 150.
- The discount will be applied to the current student’s next regular course tuition, and multiple discounts can be accumulated. The new student will receive an immediate discount upon first-time enrolment.
- Discounts are calculated per student and are valid for 4 months. They are not redeemable for cash, cannot be used for purposes other than those specified, and are non-transferable.
- This offer cannot be used in conjunction with the Buddies Offer.

Course Transfer
- Once admitted to a course, student is not allowed to change to another course without prior approval from RoboCode.
- Tuition and places are non-transferable.
- In special circumstances, such as changes in school schedules that prevent students from attending classes for a long period, RoboCode will assist students in transferring to another time slot. Such unforeseen circumstances do not constitute a basis for requests for refunds.
- An administrative fee of HKD 150 will be charged for successful course transfers.
- RoboCode reserves the right to accept or reject course transfer applications based on actual conditions (such as available places in the desired course/class, course progress, and level).
Course Cancellation and Changes
- RoboCode reserves the right to cancel any course, whether it has started or not, or to change the course dates, times, locations, or the number of sessions to accommodate unforeseen circumstances. Students will be notified using the contact information provided at registration. RoboCode will make every effort to minimize any inconvenience caused.
- RoboCode reserves the right to cancel a course within a reasonable timeframe before the course commences if the number of applicants is below the requisite minimum, in which case tuition and administrative fee (if any) will be refunded in full. RoboCode will notify the affected students as soon as possible and all refunds will be issued within two weeks after all necessary documents are received.
Refund Policy
- Fees paid are non-refundable under all circumstances, except for the following:
- The course is cancelled by RoboCode, in which case tuition and administrative fee (if any) will be refunded to the applicant in full. All refunds will be issued within two weeks after all necessary documents are received.
- The student is unable to attend 40% or more of the classes due to accidental injury or illness. In this case, written notice must be provided within one week of the incident, along with a valid doctor’s certificate. Late refund applications will not be accepted. RoboCode will issue a partial refund of no more than 50% of the total tuition. Completed classes are non-refundable.
- For approved refund requests, applicants must complete RoboCode's "Refund Application Form" and submit it along with a copy of the course payment receipt to RoboCode's Kowloon Bay campus by mail, email, or in person.
- An administrative fee of HKD 150 will be deducted from the refund. (If the course is cancelled by RoboCode, no administrative charge is required.)
Bad Weather/ Public Health Warning Arrangement
- Before class starts:
- If a Typhoon Signal No. 8 or above, or a Black Rainstorm Warning is in effect 2 hours before the class, classes will be cancelled.
- If an announcement is made by the Hong Kong Observatory that a Typhoon Signal No. 8 or above, or a Black Rainstorm Warning is likely to be hoisted 2 hours before the class, classes will be cancelled.
- During class:
- If a Typhoon Signal No. 8 or above is in effect, classes will be suspended immediately.
- If a Black Rainstorm Warning is in effect, classes will continue.
- Students may stay at RoboCode, which will arrange for their orderly departure based on weather and transportation conditions. Parents will be notified accordingly.
- Classes scheduled for two hours after the warning signal is cancelled will continue as normal.
- Classes will proceed as scheduled during Typhoon Signal No. 1, No. 3, or Amber or Red Rainstorm Warnings unless otherwise notified.
- If the Hong Kong Department of Health issues any public health alerts (e.g., SARS, swine flu, Ebola), classes may be cancelled. Parents or guardians must immediately notify RoboCode if a student is confirmed or suspected of contracting any high-risk contagious disease. RoboCode reserves the right to restrict them from any area of the campus to avoid serious health consequences to other students and member of the academy
- Affected students will be notified via phone or instant messaging if classes are cancelled due to inclement weather or public health alerts.
- Make-up classes will be arranged for any cancelled classes, with further announcements to follow.
School Rules and Safety
- Eating and drinking are not permitted in all classrooms.
- Students must turn off or silence mobile phones and other electronic devices during classes.
- Photography, audio, or video recording during classes is prohibited unless approved by RoboCode.
- RoboCode reserves the right to expel students who disrupt the class or violate school rules. Students will be liable for any damage caused to Academy property at market value.
- Parents or guardians are fully responsible for ensuring the safety and security of students before and after classes, including arranging appropriate transportation. RoboCode is not liable for accidents, personal injury, or damage to or loss of personal belongings occurring before, during, or after classes.
- By agreeing to RoboCode's terms and conditions, we are given consent which in case of serious accidents when immediate medical care is required, students will be sent to the nearest hospital. Parent or guardian will be notified at once.
Use of Images and Videos
- RoboCode reserves the right to use photographs and/or recordings of students (and parents/guardians, if any) taken during classes or activities for the use of educational, training or promotional purposes. If you have any objection to such use, please submit a written request to opt-out.
Copyright Statement
- All course notes, course materials and information supplied to students by RoboCode are for private study purposes only. The copyright of all these materials belongs to RoboCode and all rights are reserved.
- The copyright of the photos, videos or audio clips taken during classes belongs to RoboCode as well.
- Students/Parents/Guardians cannot reproduce, distribute or show to any other person, in whole or in part, of abovementioned materials.
Others
- Approaching staff/instructors of RoboCode privately for tutorials/lessons is strictly prohibited.
- RoboCode will not be liable in cases where RoboCode is unable to fulfill any services to which they are contractually bound because of fire, natural disaster, act of government, failure of suppliers or subcontractors, labour disputes or other reasons that are beyond RoboCode’s control. RoboCode will not be liable for loss, damage, or injury to persons or property howsoever caused.
- The English version of the Terms and Conditions is provided for reference only. In the event of any discrepancy or conflict between the English and Chinese versions, the Chinese version shall prevail. RoboCode reserves the right of interpretation in case of any dispute.
- RoboCode reserves the right to change and/or amend the Terms and Conditions from time to time at its sole discretion.
